Information Capture
Information capture is the process of collecting paper documents, forms and e-documents, transforming them into accurate, retrievable, digital information, and delivering the information into business applications and databases for immediate action. The capture information can be of different languages, different types of information, etc and this information can be output into a variety of formats (pdf, tiff, word, excel) and into a variety of destinations (Document Management System, Encrypted Storage, etc)
Document Scanning
Document Scanning & Capture Solution includes preparation, scanning, intelligent data capture, and then release of images with the captured data into the document management system. Projects can be done either offsite or onsite. Our extensive and large-scale technical and project management expertise in Electronic Document Management allows developing and maintaining leadership within the document scanning and management industry.
Book Scanning
Our full-service scanning bureau incorporates industry-leading book scanning technology for the rapid and high-quality scanning of bound volumes. The scanners we have deployed are specially designed to capture images from bound volumes facing up which eliminates the need to unbind them. For very old books and delicate material, we use special book cradles which ensure that the spine of the book is not harmed during the scanning process.
Powering our bound scanning service are a number of industry-leading overhead book scanners that capture high-quality images in a number of digital formats including PDF, JPEG, and TIFF. We can scan a variety of sizes up to A1 and can output scanned images in preservation quality black and white, grayscale, or full colour.
Large Format Scanning
Large format scanning is a solution for any organisation with documents ranging from size A2 up to A0 and is looking to access the information contained within these documents more efficiently.
Our digitization division is equipped with industry-leading large format scanning technology and software which is capable of capturing high-quality electronic images in the digital format of your choice e.g. JPEG, TIFF, or PDF format. Throughout the entire process, our team handles your documents with care and in line with our security procedures which are covered under our ISO27001 certification.
Upon completion of the digitising process, your scanned images will be indexed using your chosen naming convention, for example the title block within each drawing. The result is easily searchable and retrievable digital files. The size of these digital files can be optimised to reduce storage space and ensure quick retrieval.
Scan on Demand
Access to information is critical to the operation of a successful business, and there are many times when you need access to your offsite documents immediately. Often companies with large operations in multiple locations need access to the same documents at the same time. To facilitate these situations, we offer a scan-on-demand service by combining our document storage and scanning services.
As soon as a request is made for an electronic copy of your documents in storage, they are picked from their unique warehouse locations and the document conversion process begins. All documents are prepped for digital conversion by our scanning experts. Once prepped, the documents are scanned by one of our top-of-the-range document scanners, ensuring optimum results and clarity.
Upon completion of the digitizing process, your scanned images will be indexed to facilitate future retrieval. When your digital files have been indexed, they can be transferred to you securely via encrypted email, SFTP (Secure File Transfer Protocol), or uploaded to cloud-based document management. The digitization process is completed by returning your documents to our storage facility.
Scan on demand is a cost-effective alternative to physical file delivery. It also enables records to be available anytime, anywhere via secure web access.
